CITY OF ALBEMARLE Senior Administrative Support Specialist in ALBEMARLE, North Carolina

Supporting communities and changing lives: This role provides administrative support for two public housing communities and other programs offering transitional housing.

Responsible for assisting in processing applicants for housing in the Public Housing (PH) and Housing Choice Voucher (HCV) programs and in performing a variety of clerical tasks related to the admission and continued occupancy of residents. Primarily responsible for interviewing that must be conducted for applications, community services, zero income interviews, orientation interviews. Responsible for the Department receiving at least a satisfactory rating concerning HUD Department scoring systems such as Public Housing Assessment System (PHAS), SEMAP (Section Eight Management Assessment Program and other future HUD required evaluation systems.

Essential Duties
  1. Receives incoming calls/visitors. Answer basic questions and refer to appropriate party as needed. Receives and signs for shipments delivered by FED EX, UPS, and USPS.
  2. Reviews applications and documentation for completeness and distributes to appropriate parties.
  3. Assists with mailing monthly rent statements and late notices to residents. Assists with mailing monthly landlord statements for HAP Payments.
  4. Maintains copier, postage machine, supplies request maintenance as needed. Maintains supply of paper for office staff. Submit requisitions as needed.
  5. Picks up and delivers daily mail to City Hall and other locations as necessary.
  6. Maintains lobby in a clean and organized manner at all times.
  7. Ensures privacy and maintains security of confidential materials. Accountable for consistent adherence to strong departmental standards regarding the ethical, responsible, and appropriate use, care, and safeguarding of Authority materials, supplies, resources, and other assets.
  8. Undertakes and performs other work-related duties as assigned including work in other functional areas to cover absences or provide relief, to equalize peak work periods, or otherwise balance the workload.
  9. Prepares recertification notification letters, prepares recertification packets for residents and assists residents with completing the packets.
  10. Administers work order system.
  11. Maintains departmental files.
  12. Performs related tasks as assigned.
Physical Requirements
  • Must be able to physically perform the basic life operational functions of climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, grasping, feeling, talking, hearing, and repetitive motions.
  • Must be able to perform medium work exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
  • Must possess the visual acuity to prepare and analyze reports, operate a computer, tablet, and mobile device, perform mechanical tasks in a technology infrastructure, do extensive reading, and do visual inspections of related technology components.
