The Opportunity

We are seeking a dedicated Administrative Assistant III to join our team. As the Administrative Assistant, you will primarily work with the Trusts and Estates team, supporting gift administration initiatives. Additionally, you will collaborate with the Gift Planning team to contribute to our comprehensive fundraising efforts.

Key Responsibilities:

  • Provide administrative support to the Trusts and Estates team.
  • Collaborate with the Gift Planning team on fundraising initiatives.
  • Assist in gift administration tasks, ensuring accuracy and compliance.
  • Manage office communications and coordinate team activities.
  • Handle inquiries and requests from internal and external stakeholders.
  • Contribute to the overall success of the OTEGP office through teamwork and effective coordination.

This is a full-time (39 hours/week) endowed position that is based in Ithaca, NY. This position follows a 3:2 campus-to-home hybrid work arrangement. This hybrid schedule is subject to change at any time. Typical work hours are 8am-4:30pm Monday through Friday.


What We Need

We are looking for a team member who takes initiative, is collaborative, and has experience working with databases. Additionally, you will:

  • Hold a high school diploma and 2 to 4 years or relevant experience or equivalent combination.
  • Have experience in and/or demonstrate commitment to supporting diversity, equity, access, inclusion, and wellbeing.
  • Be proficient with Microsoft 365 products, particularly Excel, Adobe and other publishing or presentation software, Zoom.
  • Be familiar with contact management systems and financial accounting software.
  • Manage multiple projects at a time with efficiency and accuracy.
  • Have interest in fundraising and philanthropy.
  • Manage confidential information with discretion and tact.
  • Have integrity, professionalism, and congeniality.

If you possess these experiences and skills this may be the role for you! There are a few other qualifications that we would view as incredibly helpful in this role, to include:

  • Experience with PG Calc's Planned Giving Manager and Gift Wrap programs
  • Experience working in financial services, accounting, or a legal environment

  • This position is eligible for a hybrid work arrangement. Employees typically perform this role
    remotely 2 days per week and on-campus 3 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time.
  • This position is based in Ithaca, New York, however, the successful applicant may perform this
    role remotely anywhere within the United States. Employees who work remotely may receive
    multiple W-2 Forms depending on their work location. The New York Convenience of employer guidelines require New York State individual tax reporting and withholding for this position. Additional individual state income tax filings may also be required if working temporarily outside of New York State.
