Position Description:

Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.

Major/Essential Functions:

  • Greet visitors, answer requests, and manage phone calls for PFP School. Sort mail. Assist the business manager in ensuring appropriate office coverage, including lunch hours from 8 am to 5 pm. This includes submitting building maintenance control work orders to the physical plant, maintaining non-class scheduling of PFP meeting rooms, and assisting undergraduate and graduate students as needed.

  • Send Student Announcements.

  • Maintains and updates School social media presence including, but not limited to, campus digital signage, Instagram, Facebook, Twitter, LinkedIn. Creates flyers and print materials for recruitment and marking purposes. This includes proactively generating content and seeking opportunities to communicate School activities and successes to internal and external stakeholders.

  • Reconciles all p-cards in use for the school.

  • Serves as the staff advisor for student outreach and event groups and initiatives (e.g., PFP ambassadors).

  • Maintains Alumni and Friends database and employer relations contact list. Provides logistical support for the Alumni Advisory Board and faculty Advisor.

  • Assist in the development and execution of all annual contracts. This includes working with the funder, coordinating with stakeholders, and processing gift receipts.

  • Implement TTU (Local) outreach initiatives in coordination with program directors (e.g., Center for Financial Responsibility Director and Financial Planning Academy Director), including project timelines and ensuring deadlines are met. This includes creating and maintaining a logistics tracking system, managing program documents, and having regular touchpoints with stakeholders (e.g., faculty, staff, donors, parents, national coordinator, etc.).

  • Track and maintain records of all event participants and demographic information to be included in annual reports to funders and universities for outreach initiatives. Establish and maintain processes, procedures, and documentation for events to ensure continuity and long-term success.

  • Produce and disseminate School newsletters to various stakeholders (e.g., alumni, donors, etc.).

  • Coordinate and execute all aspects of the school’s events. Events include (but not limited to) major routine School events (including Opportunity Days, graduation, Career Day, etc.); outreach initiatives; alumni engagement initiatives; campus events for faculty, staff, and student engagement (e.g., lunches, retreats, celebrations, professional networking, special occasions, etc.); and campus visits for prospective students, prospective faculty, alumni, and guests.

  • Coordination includes all aspects of event planning, execution, and follow-up, such as the creation of the program schedule, curriculum, meals, activities, space/parking reservation, pre- and post-communications, gathering feedback, leveraging resources, recruitment of stakeholders, leveraging available resources, etc.

  • Process all travel applications and vouchers across all academic programs and outreach initiatives.

  • Manage the Job Board postings and employer communication, including the webpage and other tools to facilitate the employer recruitment and marketing process. Use resources effectively to facilitate communication (e.g., social media, ambassadors, classroom visits, etc.).

  • Promote the success of outreach initiatives through content creation for press releases, social media posts, the PFP website, newsletters, and other channels as appropriate. Utilize available resources to ensure quality materials and high impact of their dissemination.

  • Maintain an up-to-date website for the school. Utilize resources to achieve a professional and up-to-date web presence for the school.

  • Purchases supplies for all School outreach initiatives (TTU FPA), events, and any operation needs.

  • Maintain inventory of promotional items for student recruiting and other School promotional uses.
