Summary: The Design Project Intake Coordinator will play a critical role in facilitating a smooth flow of Design projects and deliverables for omni-channel content for existing products and new product development for Newell Brands. This role will be responsible for overseeing workflow optimization, workload management, and resource capacity within the Design department, ensuring efficient execution and timely delivery of high-quality design work to cross-functional partners, suppliers, and eCommerce platforms throughout the development cycles. The position requires knowledge of new product development, strong communication and organizational skills, as well as a foundational understanding of marketing and design processes and project management principles.

Responsibilities:

  • Oversee the basic workflow for the entire creative department touching projects at key points in the project lifecycle, i.e. intake process; milestone requirements within projects

  • Accountable for ensuring the completion of tasks needed to move project work forward as well as managing the workflow process including resource capacity

  • Coordinate the flow of requests, information, and resources between different departments within the organization

  • Serve as the primary point of contact for internal stakeholders, including project managers, marketing and creative leads, and other departments, regarding project intake, status, and resource allocation

  • Communicate with internal teams to gather project requirements and ensure clarity on project objectives

  • Collaborate with Creative Leads and Design Operations to develop project briefs and ensure alignment on project objectives, scope, and deliverables

  • Develop and maintain relationships with partner teams requesting content

  • Monitor and analyze content delivery performance and make necessary adjustments

  • Conduct regular status meetings with Design teams to review project progress, address any challenges, and provide support and guidance as needed

  • Utilizes records of project status, including tracking of project types, milestones, and deliverables on a weekly basis

  • Develop and implement traffic plans to ensure the timely and accurate delivery of required inputs and output of conten

  • Understands department’s workload and general capacity to be able to inform discussions with stakeholders

  • Support in facilitating the allocation of resources, including designers, freelancers, and external vendors, with the Creative & Operations leads, to ensure that projects are adequately staffed and resourced

  • Coordinate project intake and assignment, ensuring that projects are appropriately prioritized and assigned to the appropriate teams based on capacity and discipline

  • Support project scheduling, scope management and capacity planning with the support of Creative & Design Operations leads

  • Escalate challenges as it relates to resource capacity and/or process bottlenecks

  • QA project completion, file delivery and storage, and provide occasional post-mortem project assessments

  • Prepare and maintain detailed status reports on active projects and content delivery performance

  • Attend project status calls as needed to update project team on timeline of requirements

Qualifications:

  • Bachelor's degree in management, design, communications, or a related field; certification in project management is a plus

  • Minimum of 3 years of experience in a traffic management or project management role within a design agency or creative department

  • Strong understanding of design processes, including graphic design, branding, digital design, print production, and new product development

  • Excellent organizational and time management skills, with the ability to manage multiple projects and priorities simultaneously

  • Strong leadership and interpersonal skills, with the ability to effectively communicate and collaborate with internal teams and external stakeholders

  • Proficiency in project management software such as Workfront or Project Online

  • Proven track record of successfully managing design projects from inception to completion, meeting deadlines and exceeding client expectations

  • Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities and deadlines

  • Performs other duties as needed
