Position: Administrative Assistant to the Director of Advancement
Classification: Non-exempt
Hours per week: 40
Work Schedule: Monday-Friday, some nights and weekends may be required.

Bachelor's degree or equivalent experience
Knowledge of and experience with relevant technology
Solid biblical and theological foundation and understanding
Proven experience providing high-quality and value-adding administrative support
Experience in non-profit development is a plus
Position Summary:
The Administrative Assistant to the Director of Advancement primarily serves to provide high level, value-added administrative support to the Director of Advancement. This position will also provide administrative support to the development department and will assist in tasks and planning for special events. Duties can include, but are not limited to, scheduling meetings, report creation, mail outs, communications, etc. for the Director of Advancement as well as gift processing, data entry, filing, stewardship management of major and mid-level giving, and other development and fundraising initiatives, drives, or special events administrative tasks.
Duties and Responsibilities:
Possess and model a growing relationship with Christ and accept and uphold The Brook Hill School's Statement of Faith
Seamlessly and deliberately integrate Biblical truth and Christian values into day-to-day duties
Take an active role in ensuring the school's effectiveness by identifying short-term and long-range issues that must be addressed; providing pertinent information and commentary to deliberations; recommending options and courses of action; implementing directives
Develop relationships with colleagues with goals of teamwork, relational unity, and spiritual growth
Create and run reports with a variety of donor information
Assist with and execute mail outs, thank you notes, donor gifts, etc.
Communicate on behalf of the Director of Advancement with a professional, positive, and encouraging manner
Organize meetings, including scheduling, sending reminders, and organizing catering or other meeting details when necessary
Provide historical reference by developing and utilizing a filing and retrieval system for recording meeting discussions
Compose correspondence, emails, and other materials on behalf of the Director of Advancement
Provides high-level, value-added administrative support for the Director of Advancement
Plans, manages, and executes all aspects of special projects as assigned in a timely manner
Executes weekly gift processing, thank-you letters, and thank-you calls with a high degree of accuracy and customer service while communicating the Christ-centered impact of these gifts
Coordinate and oversee the maintenance and stewardship of the donor database
Utilize Moves Management System to enter data and create donor profiles for use by the Director of Development, Director of Advancement, and other fundraising staff
Support grant writing efforts, including prospect research, reporting, and stewardship.
Develops automation in administrative functions wherever possible
Assists with the coordination and execution of special events including vendors, participants, special guests, staff, volunteers, and donors, while communicating the impact and Christ-centered mission of The Brook Hill School
Retains an ability to be flexible in all work situations and is not flustered or daunted by last minute changes or requests
Participate in the broader ministry of Brook Hill by contributing time, talent, and treasure beyond assigned role responsibilities to facilitate school-wide wins
Work towards anticipating the needs of the Director of Advancement and perform duties with minimal supervision
Maintain a willing spirit and can-do attitude in all situations
Improve leadership skills through self-initiated professional development activities.
Occasional evening or weekend work required as it relates to the duties described
