Bachelor’s Degree and five years of relevant experience preferred. This position seeks a bright, engaged, and proactive individual who is motivated by supporting the mission of CES. The ability to work collaboratively as part of a team is required to ensure seamless program-related planning and communications. Detail-orientation, the ability to manage multiple priorities simultaneously and to meet firm deadlines are essential. Must possess exceptional organizational, communication and writing skills. Strong interpersonal skills, including the ability to work effectively with colleagues and constituents of diverse cultural backgrounds and communication styles, are essential. Demonstrated ability to be diplomatic, exercise sound judgment and discretion with sensitive situations and confidential information. Knowledge of Europe/European Studies and experience working in a university very helpful.

The Minda de Gunzburg Center for European Studies (CES) was founded in 1969 as an interdisciplinary research institution in the social sciences to examine the politics, history, economy and society of Europe, and to bring an understanding of important developments in Europe to an American audience.

Additionally, requires the ability to work overtime after 5pm and occasionally before 9AM or on the weekend for staff programmatic events.Job Function:General Administration Position Description:

Under direction of the Program Manager, carries out event-related duties, including, but not limited to the following:

  • Liaises with diverse CES constituencies (faculty, seminar chairs, students, etc.) to plan, implement and staff events.

  • Enters event details in online calendar and reviews all entries entered by colleagues to ensure the harmonization of programmatic activities; proofreads event e-mail newsletters for accuracy, clarity and adherence to CES style guidelines.

  • Prepares speaker invitations and coordinates follow up and associated event planning, as well as speaker and short-term fellow schedules.

  • Contributes to creation of invitation lists for special events and meetings, and helps to facilitate student attendance.

  • Staffs events and other programmatic activities, including evenings after 5pm and occasionally before 9am or on the weekend.

  • Acts as a knowledgeable resource on all CES programming and events for the Harvard community, especially students, and beyond.

  • Oversees coordination of visiting scholars program application processes, including: updates online application, fields inquiries, organizes applications for selection committee review and prepares notifications to candidates. Liaises with Harvard International Office and scholars on visas, processes appointments in Harvard system, and performs other associated administrative duties related to supporting scholars’ stay at CES. Organizes and participates in scholars’ onboarding and orientation.

Coordinates administrative processes for the Center’s graduate fellowships (dissertation research and dissertation completion) and undergraduates grants (summer research travel and internship) as follows:

  • Enters grant & internship opportunities in the CARAT system & CES website.

  • Prepares award/rejection notifications; tracks student acceptances.

  • Provides administrative support for grant selection committees and undergraduate pre-departure orientation session.

  • Serves as an information source for student applicants.

  • Liaises with Faculty of Arts and Sciences (FAS)/ university-wide funding partners (Mignone Center for Career Success, academic departments, research centers, etc.) to coordinate recipient lists and funding offers.

  • Tracks completion of pre-departure requirements (travel & health forms/ registrations, etc.).

  • Serves as a point of contact for grant recipients and interns while they are in Europe.

  • Provides administrative support for the Secondary Concentration in European History, Politics, and Societies (EHPS).

  • Supports and coordinates logistics for student (undergraduate and graduate) workshop series.

  • Updates/maintains content for student opportunities on the CES website.

Job Summary:

Reporting to the Program Manager, the primary function of the Program Coordinator in the Minda de Gunzburg Center for European Studies (CES) is to provide administrative support for all programmatic initiatives and as such has a highly involved role in the planning, implementation and staffing of the Center's events and activities. Works collaboratively with all CES staff to ensure that programmatic activities are coordinated in alignment with the Center's mission, policies & procedures.
