Job Description

Reporting to the Assistant Director and Director of CSON's Professional Development and Continuing Education department, the Program Assistant position is uniquely designed to fulfill departmental needs for customer service, programmatic success and student satisfaction. The successful candidate will serve as the primary point of contact for excellence in customer service with responsibility for planning, coordinating, and managing efficient courses and events. In this capacity, the Program Assistant will collaborate with the Assistant Director to identify, develop and implement marketing plans. This position also interfaces with the Fiscal & Administrative Specialist to support registration management and accreditation records maintenance. The role is divided into four major responsibilities:

Customer Service - 30%

Communication via, phone, email, zoom and live on campus

Create templates for email communications to all course registrants regarding confirmation, reminders and virtual links

Course Coordination - 30%

Enrollment management, learning space reservations and supply management, content review, order materials for student handouts and prepare signage for on campus courses, record-keeping (attendance, completion rates), course evaluation (distribute, collect and summarize), and award specialty program certificates.

Operations - 30%

Technology: PowerPoint, Photoshop, InDesign, CVENT, Canvas, Panopto, AEM, Constant Contact, Survey Monkey

Marketing - 10%

Brochure/email design and proofread; distribute promotional content including emails, posters, flyers;

Other general duties as assigned

Requirements

Requirements:

Education/Training

Bachelor’s degree preferred; Computer proficiency is essential

Experience Required

3+ Years

Previous experience in office setting including phones, customer interface, computer skills and scheduling

Event planning; working with a team; undertaking tasks to ensure success

Proven competence with database management, advanced use of spreadsheets and word processing

Knowledge of HTML and web design; familiarity with visual graphics and text production

Exceptional Work Schedule/Physical Demands

A flexible schedule which can be changed to meet the various course changes

Willingness to work occasional weekends or evenings as needed

Moving tables/lifting boxes for classes or conference(s); meeting room set up as needed
