Work Schedule: 8 Hr (8:00:00 AM - 4:30:00 PM)

Summary:

The Administrative Manager is responsible for the overall management of the administrative needs of HDM. Directs administrative activities to ensure that goals and objectives are accomplished effectively, efficiently and professionally. Works closely with appropriate personnel to provide efficient coordination. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Preferred Job Qualifications:

• BA or BS degree is desirable

• Minimum of 2 years experience in healthcare and management/supervisory responsibilities is preferred

Physical Demands:

• May be exposed to certain hazardous materials, including but not limited to blood-borne pathogens, chemotherapeutic agents, cleaning and sanitizing agents

Responsibilities:

• Assist HDM leadership in sales and marketing activities, including presentation materials, managing vendor fairs and design marketing materials.

• Serves on and provides valuable contributions to the HDM management committee.

• Coordinates, completes & processes pharmacy payor and vendor contracts for HDM.

• Liaisons with RUMC’ Legal Department by ensuring timely turnaround of documents and responding to a variety of inquiries

• Liaisons with various payor and vendor contract departments

• Provides support to Assistant Director of Reimbursement to complete various government (Federal and State) contracts

• Maintains and organizes payor and vendor contracts at HDM

• Supervises inventory control, ordering, receiving; ensures all paperwork and records are maintained and processed in a timely manner. Oversees annual inventory for HDM entities.

• Reviews and approves all closed purchase orders (P.Os) prior to submission to accounts payable.

• Manages office supply purchasing for HDM.

• Prepares and submits management reports as required.

• Participates in the development of all budgets as needed.

• Tracks and coordinates clinical and pharmacy licensure for HDM to ensure compliance with state and federal laws & regulations.

• Coordinates and maintains tracking documents for corporate compliance and RUMC and HDM on-line training; provides recommendations for lesson inclusion for HDM on-line training.

• Manages day-to-day administration and problem solving for the HDM entity.

• Acts as intra and inter-department liaison for HDM on applicable committees including, but not limited to, United Way Campaign, Environment Care & Customer Service Task Force.

• Maintains and tracks the Professional Office Building Pharmacy customer service surveys in a spreadsheet that is utilized by the Customer Service task force to plan and strategize customer service initiatives

• Completes all cash register reports on a daily basis; serves as petty cash coordinator to insure accuracy and availability of Pharmacy cash needs.

• Manages the incoming mail process to ensure timely processing of vendor invoices, pharmacy reimbursement checks and disbursement of time-sensitive pharmacy incoming information.

• Performs within the framework of RUMC/HDM policies and procedures.

• Performs other tasks or special projects as assigned by management.
