Your responsibilities in this role

We are seeking a dedicated and efficient Office Administrator to join our team. The Office Administrator will play a vital role in supporting the administrative needs of our construction office, ensuring smooth operations and facilitating effective communication between various departments and stakeholders. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a fast-paced construction environment.

Responsibilities:

Administrative Support:

Provide administrative assistance to project managers, construction supervisors, and other team members.

Manage phone calls, emails, and correspondence, directing inquiries to the appropriate personnel.

Prepare and distribute construction-related documents, including contracts, permits, and project plans.

Assist in maintaining accurate and up-to-date project files and documentation.

Project Coordination:

Assist in scheduling and coordinating construction projects, including subcontractor activities, material deliveries, and inspections.

Track project timelines, milestones, and deadlines, updating relevant stakeholders as needed.

Liaise with subcontractors, suppliers, and vendors to ensure timely delivery of materials and services.

Record Keeping and Data Management:

Maintain comprehensive records of project expenses, invoices, and receipts.

Enter and update project-related data into construction management software or databases.

Generate reports on project progress, expenses, and other relevant metrics as required.

Office Management:

Manage office supplies inventory and place orders as needed.

Maintain the cleanliness and organization of the office space, including filing systems and common areas.

Coordinate office equipment maintenance and repairs as necessary.

Requirements - Job related experience

  • Prior experience in a supervisory role required

  • Construction experience

  • Command of Reading bluePrints

  • Strong familiarity with Project Coordination
