Implement best practices including quality control procedures. Negotiate contracts on behalf of the Registrar and the University of Minnesota Duluth. Builds strong relationships and delivers ongoing communication, and flow of student and course records with partner school districts and UMD. Manage CITS records responsibilities for over 18 UMD and 60 high school CITS faculty. Draft the annual CITS budget, manage revenue and expenses, and approve expenditures. Deliver CITS services, manage data processes, which update and audit academic records, and coordinate with Registrar services to achieve service excellence. Support data driven decisions and contribute to data tracking. Support academic record and information compliance with technology protocols, FERPA regulations, the Higher Education Opportunity Act, ever-changing federal and state regulations and University policy and practices. Participate in effective communication with all stakeholders using various technologies. Assist in the coordination and testing of systems enhancements for CITS services. Provide design specifications and documentation for improved business processes and reporting. Facilitate and support UMD academic stakeholders, students, faculty, and staff in the College in the Schools program. This is a hybrid position that requires in-person presence with remote working opportunities. Salary Range: $47,018-$60,000 Program Management (60%) Support College in the Schools program academic records, operations, and services in accordance to the same standard of all University of Minnesota Duluth academic records. Provide daily support of complex student information system processes, as well as support instructional and academic records of the College in the Schools program. Recommend and support Office of the Registrar departmental goals, objectives, policy, and best practices that align with the University's mission and strategic enrollment management goals Assist in the supervision of staff and student employees who support College in the Schools programs and services. Assist in the coordination of data access and security for the student information system for the UMD campus in the area of College in the Schools UMD faculty liaisons, High School leadership, faculty, and staff. Collaborate with faculty, staff and administration to ensure compliance with institutional, professional and legal standards and regulations related to academic records. Review program policies and procedures to ensure alignment with accreditation standards and inform the Registrar of any concerns or discrepancies. Manage the CITS budget and track expenses. Maintain documents and assessment data that are required for accreditation. Stay current in the understanding of the NACEP accreditation standards, including attending webinars, meetings, conferences, etc. Collaboration, Engagement, and Outreach (35%) Coordinate and collaborate with the UMD academic community and high school partners or potential partners on policy, business practices, information systems and operations; provide training and information. Plan and organize program workshops, campus visits, and advisory board meetings. Engage with CITS partners in problem resolution, communication of updates, important reminders. Serve as a resource to faculty liaisons and high school partners and assist with problem solving, as needed. Provide information on program policies, procedures, dates and deadlines to faculty, staff, and students. Opportunity to lead other Enrollment Management departmental outreach initiatives to the K-1 community that promotes a college-going culture. Other duties as assigned (5%) Qualifications Required Bachelor's degree plus at least four years of relevant experience, or Master's degree plus at least two years of relevant experience. Experience in effective customer service and accurate records management of private information Knowledge of admissions and academic records such as Campus Solutions/PeopleSoft/Oracle student administration or related, integrated systems.
