In Operational Risk Management, our vision is to minimize operational risk impacts across the firm, and all its subsidiaries and affiliates, with a purpose to govern, oversee, and continually improve the operational risk program through supporting and challenging our business partners, and raising risk awareness and understanding to improve risk based decision making.
Reporting to the Managing Director of Operational Risk Management, this role will perform duties in support of the Corporate Operational Risk Program Office. The primary responsibilities are in support of the risk management committees for which executives within the Operational Risk Management & Insurance department are designated as committee chairs. This individual will act in the capacity of committee secretary for the respective committees.
Responsibilities include and are not limited to; working with administration support to schedule meetings, setting of agendas, coordinate with presenters, review of expected committee material to ensure objectives are met, disseminating committee materials to participants, and documenting and communicating meeting minutes with derived actions. Additional responsibilities may include the coordination of internal audits and with the Enterprise Risk Management Program Office on roadmap updates.
What you’ll do:
Partner with the administrative assistant to schedule meetings with all expected participants on an annual basis as to ensure the respective committees convene as deemed by the approved committee charters.
Set and communicate agendas accurately and timely based on pre-defined committee schedules.
Validate committee materials submitted in accordance with agenda and confirm they meet the intended objectives as outlined by the respective committee chair. Follow up with presenters to make sure necessary changes are made prior to meeting
Schedule and facilitate internal review meetings with the respective chairs and others within the Operational Risk Management & Insurance department in advance of committee meetings as to confirm material expectations are met.
Document meeting minutes in accordance with the standards established including identification of required action. Follow-up on required action and open items until closed.
Maintain tracking of when completed actions need to be presented back to the respective committee, and coordinate with respective action owners.
Coordinate with the respective Operational Risk Management & Insurance teams to obtain and deliver materials requested during internal audit engagements
Gather, document, and deliver required updates in coordination with Enterprise Risk Management for initiatives that are provided to senior management and the Board.
What you have:
5+ years of experience in financial services industry and risk management governance experience required, preferably in a risk, audit, or compliance role.
Ability to prioritize and multitask based on strong organizational skills with great attention to detail in a rapidly changing environment.
Excellent communication and presentation skills with strong influencing skills orally and in writing.
Ability to effectively and comfortably facilitate meetings with all levels of management.
Sharp critical thinking skills (creative, strategic, and practical), ability to focus on the most vital areas, problem-solving skills, and strong business and relationship judgment.
Strong interpersonal skills/ability to develop relationships with Corporate Risk Management and the Operational Risk Management & Insurance department.
Professional writing aptitude in documenting official minutes and actions.
Proficiency in analysis, in particular, the ability to incorporate and understand mass information from a variety of sources to recommend a course of action.
Expert proficiency in all Microsoft Office applications, particularly Excel, Word, and PowerPoint; working knowledge of SharePoint is a plus.
Self-motivated, able to bring projects to conclusion within established timeframes.
Independent judgment with expert analytical and reporting skills.
BA/BS degree. MBA strongly preferred.
