The Challenge

We are looking for an experienced, self-motivated, and analytical Administrative Specialist to join Ferry Shipyard team.

In this role, you will:

  • Provide administrative executive-level support for the NC Ferry Division Director.
  • Serve as direct administrative support to the most senior Ferry management.
  • Serve as a liaison between our Ferry Director, agency managers, staff, and the public.
  • Manage schedules and communications.
  • Answer with tact and diplomacy, take messages, and direct calls appropriately for resolution.
  • Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on behalf of the Ferry Director.
  • Maintain comprehensive and accurate records.
  • Prioritize emails and phone calls.
  • Gather documents to prepare for meetings.
  • Attend meetings and take discussion notes.
  • Prepare initial drafts of minutes and summaries.
  • Assist in developing presentations and white papers for internal and external audiences.
  • Complete special projects, including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda materials.

  • Excellent communications skills to conduct internal and external correspondence.
  • Exemplary admin skills to maintain accurate and comprehensive records.
  • Thorough knowledge of the services, policies, and procedures used by the NCDOT Ferry division to communicate and process information.
  • Demonstrated ability to compile, assimilate, and organize printed and electronic information.
  • Admin skills using office equipment and other relevant technologies to meet organizational needs.
  • Demonstrated ability to identify and understand issues, problems, and opportunities.
  • Leadership to use effective approaches for choosing a course of action or developing appropriate solutions.
  • Demonstrated ability to clearly convey information and ideas through a variety of media to individuals or groups.

Education and Experience

  • High school/GED diploma, and
  • 4+ years of relevant experience; or
  • An equivalent combination of education and experience.
