SRS Distribution Inc. ITAM Administrator in McKinney, Texas

The IT Asset Management Administrator plays a critical role in our Information Services & Technology Team. You will be responsible for the entire IT asset lifecycle, from procurement and deployment to utilization and secure disposal. Additionally, you will leverage your expertise to ensure compliance with internal and external regulations, and manage vendor contracts, while also driving cost-effectiveness and strategic optimization of IT assets.

Key Responsibilities:

Maintain a Comprehensive and Accurate IT Asset Inventory:

  • Create and maintain a detailed record of all IT assets, including hardware (desktops, laptops, servers, etc.), software (operating systems, applications, etc.), and peripherals (monitors, printers, keyboards, etc.).

  • Ensure proper tracking of IT asset inventory levels through compliance audits and physical inventories.

  • Work with tools like ServiceNow to ensure that hardware records are accurate and current.

    Performing Regular Asset Audits and Data Reconciliations:

  • Log, track, and reallocate assets in the ITAM system through all stages of the asset life cycle.

  • Plan and conduct audits, investigating discrepancies and updating asset records to ensure data integrity.

  • Reconcile data from different sources (e.g., purchasing records, finance systems), identify and resolve inconsistencies.

    Managing IT Asset Lifecycle Processes:

  • Oversee the entire life cycle of an IT asset, from acquisition to disposal, for such activities as:

  • Acquisition : Assisting with the procurement process by providing accurate asset data and recommendations. This includes reviewing vendor contracts to ensure terms regarding software licenses, warranties, and maintenance agreements are aligned with the organization’s needs.

  • Tracking : Maintaining a record of asset movement and usage throughout its lifespan.

  • Maintenance : Coordinating maintenance activities such as software updates, hardware repairs, and license renewals, as populated in vendor contracts.

  • Disposal : Coordinate the disposal of excess IT hardware acquired through M&A processes or assets no longer holding organizational value.

    Implementing and Maintaining IT Asset Management Software:

  • Responsible for learning and using an IT asset management software system to manage all aspects of the IT asset lifecycle to manage tasks like:

  • Configuring the system to meet the organization’s needs, including integrating with vendor contract management systems.

  • Adding and updating asset data into the system, including information extracted from vendor contracts (e.g., license quantities, support entitlements).

  • Generating reports on various aspects of IT assets, including vendor contract compliance reports.

  • Maintaining the system's functionality and user access.

    Tracking and Managing Software Licenses:

  • Track and maintain copies of software license entitlements, warrantees, hardware, and software maintenance agreements for license compliance.

  • Assist with software license deployment and entitlement best practices, processes, and procedures.

  • Help with creation and coordination of software inventory reporting for compliance, and utilization, such as:

  • Track software licenses by type, quantity, and assigned users/departments, referencing vendor contracts for details.

  • Monitor license expiration dates and budget for renewals based on contract terms.

  • Identify and addressing software license compliance issues arising from vendor contract discrepancies.

  • Manage software license agreements, including negotiating renewals or amendments to existing contracts.

    Vendor Contract Management:

  • Review and analyze vendor contracts for IT assets (hardware, software, and services) to ensure alignment with IT asset management policies and procedures.

  • Extract relevant data from vendor contracts (e.g., license types, quantities, support terms) to populate the IT asset management system.

  • Track contract expiration dates and renewal timelines, proactively initiating the renewal process based on contract terms.

  • Flag potential contract violations or discrepancies identified during audits or data reconciliation.

  • Manage contract amendments or terminations.

    Reporting:

  • Generate reports on various IT asset data points, including those related to vendor contracts, like:

  • IT asset utilization rates (hardware and software).

  • Software license compliance status with vendor contracts.

  • Upcoming hardware/software renewals based on contract terms.

  • Asset value depreciation considering residual lease obligations from vendor contracts.

  • Vendor contract performance reports.

  • Assist in making informed decisions regarding asset procurement, budget allocation, resource optimization, and vendor contract negotiations.

    Additional Responsibilities:

  • Assist with developing and implementing IT asset management policies and procedures to ensure best practices are followed, including vendor contract management protocols.

  • Support the IT Analysts by providing accurate asset data and recommendations to optimize purchasing decisions, considering vendor contract terms.

  • Participate in IT asset audits and collaborating with internal teams.

    Qualifications:

  • 3-5 years of experience in IT asset management, inventory management, project coordination, or a similar field.

  • Proven experience managing IT hardware, software licensing, and asset lifecycles.

  • Strong understanding of IT asset management best practices and relevant industry regulations.

  • Experience with IT Asset Management software (e.g., ServiceNow, SCCM/MECM, Intune) is a plus.

  • Excellent communication and interpersonal skills.

  • Ability to manage multiple tasks, prioritize deadlines, and thrive in a fast-paced environment.

  • Strong analytical and problem-solving skills.

  • Meticulous attention to detail and a commitment to data accuracy.
