Description
The Executive Assistant provides high-level administrative and executive support to the organization's top-level leadership, including the CEO, CFO, COO, and other C-suite executives. This role is responsible for managing the executives' schedules, coordinating meetings and travel, handling sensitive information, and serving as a trusted liaison between the executives and internal/external stakeholders. The successful candidate will be a highly organized, proactive, and discreet individual who can effectively manage multiple priorities and serve as a trusted partner to the company's top leadership. This is a contract position in San Francisco, CA.
Key Responsibilities
Manage the executives' calendars, schedule appointments, and coordinate meetings with internal and external parties
Prepare agendas, take meeting minutes, and follow up on action items
Organize and maintain the executives' files, documents, and correspondence
Handle sensitive and confidential information with the utmost discretion
Serve as a point of contact for the executives, fielding inquiries and requests from employees, clients, and partners
Assist with travel planning, including booking flights, hotels, and ground transportation
Provide general administrative support, such as drafting emails, preparing presentations, and managing expense reports
Anticipate the executives' needs and proactively address issues before they arise
Demonstrate excellent communication, problem-solving, and multitasking skills
Requirements
Qualifications
Minimum 5 years of experience as an executive assistant or in a similar high-level administrative role
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Proficient in Google Suite (Gmail, Sheets, Presentations,)
Prior experience with reconciliations and invoices
Strong understanding booking national and international travel
Ability to work independently and prioritize tasks effectively
Strong interpersonal and communication skills, with the ability to interact with individuals at all levels of the organization
Discretion and confidentiality when handling sensitive information
Adaptability and the ability to thrive in a fast-paced, dynamic environment
