The Senior Specialist – Legal Support will be responsible for supporting the Corporate Legal Services department by processing, managing and monitoring various aspects of the outside counsel engagement and invoicing functions. The individual will also provide general administrative and project support to the Corporate Legal Services team.
What you’ll do:
Process legal invoices – responsible for entering legal invoices in the matter management system and tracking invoices through payment.
Research invoice issues – responsible for partnering with Accounts Payable to research and respond to invoice payment issues.
Organize invoice files – Responsible for ensuring legal invoices are accurately filed and maintained. Act as business systems administrator of the department’s new matter management/e-billing application (when implemented).
Support department in matter management/e-billing reporting – Responsible for creating custom queries, generating reports, and assisting others in the generation of reports from the matter management/e-billing application. Monitor (generate reports, update spreadsheets, verify completeness and accuracy of data, etc.) outside counsel engagement process according to defined procedures. Partner with vendor management to research and respond to questions and issues.
Coordinate Business Continuity plans – responsible for gathering and organizing updates from Business Continuity plan owners on a regular basis. Partner with Business Continuity Consultant to ensure updates are accurately made to required Business Continuity documentation. Support the Corporate Legal Services department as its Records Coordinator.
Assist with special projects – participate in and provide support on various department projects. Key Factors for Success in this Role: Organizational skills: Effectively and efficiently manage workload. Arrange and maintain information and files in a useful manner. Ensure that all follow-up items are completed timely and with limited supervision. Able to prioritize assignments against deadlines.
Attention to Detail: Double-check work product for accuracy and consistency. Provide information on a timely basis to others as requested. Complete all work, with limited supervision, according to procedures and standards.
Communication skills: Write and speak clearly and succinctly in a variety of communication settings and styles. Problem-solving skills: Identify the information needed to solve a problem. Present problem and recommend solution to others.
Technical skills: Proficient in Microsoft Word and Excel. Experience with law firm e-billing systems preferred. Ability to learn Schwab internal systems quickly. Strong work ethic including the ability and willingness to take on a variety of responsibilities (including administrative) depending on department and project needs.

Experience as an administrative assistant or legal administrator
Strong organizational skills and attention to detail Excellent interpersonal and communication skills
Eagerness to learn and take on additional responsibilities
Proficient in Microsoft Office, particularly Outlook, Word, and Excel; experience with legal e-billing systems desired
