The Evans School has an outstanding opportunity for an Events Manager to join our team.

In general, Evans School events are designed to 1) promote the public’s understanding of the impact and strategic objectives of the Evans School and 2) build a sense of community among internal audiences (students, faculty, and staff). Activities associated with this position involve direct contact with the Evans School’s diverse internal and external audiences including community leaders, alumni, friends, faculty, staff, students, volunteers, donors and potential donors.

The Events Manager works under the direction of the Innovation & Engagement Manager and in collaboration with the Program Directors, and the Advancement team to design, manage, execute, and evaluate special events for the Evans School. Working independently and with colleagues across the school, the Events Manager will creatively leverage special events and targeted activities to achieve the School’s and the University's mission and values.

DUTIES AND RESPONSIBILITIES Event and Project Management (80%)

  • Create and manage a project plan for all events across the Evans School.

  • Manage competing priorities, procedures, timelines, and tasks to ensure all aspects of the event are completed on time.

  • Serve as the event lead during the day of the event.

  • Proactively communicate with stakeholders to gain clarity on the organization’s objectives, budget and preferences by leading planning meetings and sharing progress updates.

  • Oversee audience lists, invitation design and RSVP tracking.

  • Work with partners to create special event collateral, including programs, signage and scripts.

  • Recruit and coordinate event volunteers.

  • Manage budget tracking, payments and reconciliation.

  • Research vendors, book venues, schedule speakers and serve as the principal liaison between contractors, organizers, staff and external partners.

  • Develop and implement methods of evaluating events for outcomes, satisfaction levels, success rate, and improvement opportunities.

  • Apply events analytics to create improvements, streamline processes, or eliminate events.

  • Troubleshoot and resolve issues both on-site at events, as well as, when managing them remotely.Communication and Administrative Management (20%)

  • Design and implement online registration pages and ensure data hygiene for integration with relational databases.

  • Working closely with Marketing and Communications team, manage the graphic design needs to support the visual elements of event promotion as well as the visual assets of an event itself.

  • Prepare briefing materials as needed for events.

  • Manage the school’s room reservations systems, acting as the content expert for the booking systems.

  • Maintain accurate and up-to-date school-wide events calendar and maintenance of Evans School and UW webpages that include event information and details. MINIMUM REQUIREMENTS

  • Bachelor’s degree in events management, hospitality, development, public relations, project management or equivalent combination of education and professional work experience.

  • A minimum of three years' experience in project management, events management, hospitality, or a related field, to include two years of experience managing events for large and diverse audiences, (e.g. fundraising dinners, public lectures, receptions) OR equivalent combination of education and experience.

  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. DESIRED QUALIFICATIONS

  • Experience in higher education organizations, the public sector, or nonprofit organizations.

  • Strong interpersonal skills, with the ability to communicate effectively both written and verbally.

  • Experience handling sensitive, confidential material and working with high-level administrators and professionals.

  • Demonstrated ability to work well with multiple people and persons from diverse backgrounds.

  • Demonstrated proficiency with computing environment, including Macs and PCs, Microsoft Office Suite (e.g. Word, Excel, Outlook, PowerPoint, Planner and SharePoint).

  • Willingness and ability to learn to use the TANDEM database system, CVENT registration system, and other proprietary software products.

  • Experience setting up Zoom meeting and conference calls.Key Skills & Competencies:

  • Demonstrated organizational ability and strong attention to detail.

  • Strong ability to work independently with limited direction while also working effectively as part of a team.

  • Proficiency in relational databases and Microsoft Office for generating correspondence, special reports, spreadsheets and forms.

  • Independent problem-solving and creativity.

  • Flexibility and openness. CONDITIONS OF EMPLOYMENT

  • Ability to work a flexible, in-person schedule to provide on-site staffing for scheduled events, including occasional events scheduled on evenings and weekends.

  • Ability to assist in the moving, set up and tear down of tables, chairs and/or AV equipment (20 pounds regularly, and up to 40 pounds occasionally)

  • The candidate selected must have a valid Washington state driver’s license, access to personal transportation, and willingness to travel when necessary (local travel only).
