Job Summary
The Gift Administration Officer composes all gift agreements for major donors at the Institute in collaboration with major gift officers, financial offices, and other advancement team members. The Gift Administration Officer is responsible for managing and overseeing all endowed funds from inception through completion, ensuring all endowed fund agreements are written and executed in accordance with the highest standards in the industry.
Minimum Qualifications
Bachelor's Degree
Four (4) or more years experience in a large complex and dynamic organization working in positions/roles involving compliance, strategic communications, writing, data management, and/or donor relations
Relevant combinations of education, training and experience may be considered.
Preferred Qualifications
Prior experience in higher education
Prior experience working in a legal or finance related profession
Minimum Knowledge, Skills, and Abilities
Knowledge of fundraising practices, IRS regulations as they pertain to charitable giving, CASE or AHP guidelines preferred
Knowledge of legal language and agreements
Strong sense of tact and discretion; ability to work responsibly and judiciously with confidential and sensitive information
Requires excellent interpersonal skills; ability to work well with colleagues, institute administrators, faculty and alumni in a pro-active, customer-service oriented manner
Effective organizational skills with the ability to manage and execute multiple projects in a deadline, detail-oriented environment
Strong analytical and reporting skills; analytical thinking and complex problem-solving skills, taking general information and translating into sound documentation
Ability to communicate effectively, both orally and in writing
Strong attention to detail
Requires a high level of proficiency in Microsoft Word (merges, advanced formatting) and Microsoft Excel (including sorting and data comparison) and PowerPoint and working within large-scale digital databases
Working knowledge of fundraising Customer Relationship Manager (CRM) software preferred
Representative Job Duties
Draft formal pledge documents and legal donor gift fund agreements. Work with gift officers, advancement services, legal counsel, and the Institute’s financial offices, ensuring that all agreements are crafted according to RPI policies and practices.
Track agreements through signatory and fund creation processes starting with digital project management workflow and ending with the advancement’s data management system.
Manage the establishment of all endowed funds from inception to completion, including writing all agreements, working with development officers, donors, Finance, the President's office, Provost, Deans, Department chairs, faculty, Financial Aid, Advancement Services, or others as necessary to assure that agreements are written and executed in compliance with Institute regulations.
Provide oversight and direction to campus constituents to ensure proper compliance and expenditures of endowed funds (including the Provost, Deans, Faculty, Department chairs) with the Sr Donor Impact Officer. Ensure that the budget managers of the five schools are aware of new endowed funds for which their departments have responsibility.

Starting Salary/Rate
Expected hiring range: $65,000 - $73,000
