Primary Purpose

The Executive Administrative Assistant is responsible for providing comprehensive support to the Executive Team and will report directly to the SVP, Human Resources. This position manages the organization’s Corporate office operations in Westborough, MA and Meridian, ID. This dynamic role demands anticipating needs, critical thinking, and providing solutions with the utmost professionalism and confidentiality.

This position is on-site at our Corporate office in Westborough, MA.

Essential Functions

• Provide sophisticated calendar management.

• Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.

• Act as a liaison and provide support to the Exec Team. Arrange and handle all logistics for Exec meetings and events.

• Assist with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.

• Serve as the primary point of contact for internal and external constituencies on all matters pertaining to assigned executives including those of a highly confidential or critical nature. .

• Provide a bridge for smooth communication between Exec Team and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.

• Work with the Executive Team to coordinate outreach activities.

• Manage all aspects of the organization’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as the organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for the operation of the organization.

• Provide event management support as requested.

• Provide hospitality to all guests and help to create a welcoming environment.

• Invest in building long-lasting relationships both externally and internally.

• Perform other duties as assigned.

Qualifications

• Minimum 7 years of administrative experience.

• Minimum High School Diploma or GED; 2 Year / Associate Degree Preferred.

• Strong ability to execute work with a diversity, equity, and inclusion lens.

• Significant executive support experience, including supporting C-level executives.

• Expert proficiency with Microsoft Office 365; ability to design and edit graphic presentations and materials

• Strong verbal and written communication skills.

• Exceptional organizational skills and impeccable attention to detail.

• High degree of professionalism in dealing with diverse groups of people, including Exec members, senior executives and staff.

• Make appropriate, informed decisions regarding priorities and available time.

• Ability to complete a high volume of tasks and projects with little or no guidance.

• Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.

• Able to maintain a high level of integrity and discretion in handling confidential information.

• Excellent judgment is essential.

• Ability to switch gears at a moment’s notice.

Salary Range

$92,700.07 – $113,300.09 / year

Pay Transparency Statement

At United Site Services, our salary ranges reflect the minimum and maximum base pay for the posted position applicable to all locations across the US. Within the posted salary range, individual pay is determined by the geographic location, job related skills, experience, education, and certifications. Our total compensation package includes base pay plus a comprehensive benefits program.
